Document Center: Self-Service Access to Critical Business Documents
Oxford Alloys, Industrial B2B Supplier
In B2B e-commerce, the sale does not end at checkout. Industrial customers need ongoing access to critical documentation: product specifications, safety data sheets, compliance certificates, and technical manuals. Without easy access, they call support. They email sales reps. They submit contact forms for PDFs they need to close deals or satisfy auditors.
Oxford Alloys faced this exact problem. Their support team was drowning in document requests while customers waited hours or days for files that should have been instantly available.
We built a custom Document Center extension for their SuiteCommerce storefront that turned document distribution from a support burden into a competitive advantage. Customers get the self-service experience they expect from modern B2B commerce.
Key Metrics
Who This Serves
The Document Center was designed around the real needs of B2B industrial customers:
Engineers & Designers
Need product specifications and technical drawings to make material selection decisions. Often working against project deadlines.
Safety & Compliance Officers
Require safety data sheets (SDS) and compliance certificates for regulatory audits. Need to access historical documents on demand.
Procurement Teams
Need certificates of conformance and quality documentation to complete purchase orders and vendor qualification.
Field Technicians
Access installation guides and handling procedures from mobile devices at job sites. Need documents that work on phones and tablets.
The Support Burden
Before the Document Center, Oxford Alloys handled document requests the way most industrial suppliers do: manually. Customers would call the support line, email their sales rep, or submit a contact form asking for a specific PDF. Each request required a staff member to locate the file, verify the customer's account, and send an email reply.
The volume was significant. Safety data sheets alone accounted for dozens of weekly requests. The same documents, requested over and over by different customers. Product specifications for popular items generated even more traffic. Support staff spent hours per week on tasks that added no value beyond file delivery.
The process also created friction at critical moments. A procurement manager trying to close a purchase order should not have to wait for business hours to get a certificate of conformance. An engineer should not abandon a specification search because the document they need is buried in an old email thread.
Oxford Alloys needed a solution that would eliminate this manual overhead while actually improving the customer experience. Not just shifting the burden to a clunky interface.
Design Philosophy: Built for B2B Workflows
We developed a purpose-built Document Center extension using the SuiteCommerce Extensions Framework. Unlike generic document plugins, this solution was built specifically for B2B workflows. It integrates with NetSuite's File Cabinet for document storage and Custom Records for flexible metadata management.
Every design decision started with one question: "What does a procurement manager or engineer actually need when they arrive at this page?"
Intelligent Search & Discovery
Full-text search lets customers find documents instantly by name or keyword. Category-based filtering with multi-select checkboxes makes it easy to browse across document types: specs, SDS, certificates, manuals.
Flexible Document Delivery
Supports both internal files stored in NetSuite's File Cabinet and external URL redirects for third-party hosted resources. Administrators have full control over how each document behaves.
Professional Presentation
Visual document cards with custom thumbnails, detailed metadata including category, last updated date, and descriptions. Clean, branded interface that matches the existing storefront design.
Mobile-First Responsive Design
Adaptive grid system that works smoothly across desktop, tablet, and mobile. Field technicians can access documents from the warehouse floor.
